Program Specialist, Executive Education

Position Summary

The Program Specialist is responsible for supporting the daily operations and effective execution of executive education programs, maintaining high standards of delivery, and ensuring administrative excellence. This role involves direct communication with participants, logistical coordination, and data management, as well as supporting the continuous improvement of program offerings based on client and participant feedback.

Responsibilities

  • Participates in designing, developing, and evaluating open enrollment courses and proposals for custom programs for the public and private sectors.
  • Develops proposals and program budgets and manages budgets for custom programs and projects.
  • Supports in regularly establishing new contacts with clients (public and private sectors) and works closely with them.
  • Responsible for managing and executing day-to-day program and project operations.
  • Acts as a purchase requester in the Banner System. Coordinates and tracks all payment procedures (receivables and payables).
  • Ensures proper planning and execution of program logistics (e.g., order materials, schedule rooms, provide catering, etc.).
  • Oversees quality control throughout the entire program.
  • Communicates with clients regularly and responds to their requests for new programs.
  • Responsible for assessing training needs (TNA) through surveys, focus groups, and interviews with the clients.
  • Consults with the HR Business Partners on capacity building initiatives within their client groups.
  • Conducts mid-year and end-of-year strategic review and planning sessions to prioritize resources and budget needs.
  • Develop marketing materials jointly with the Marketing and Communication Department, i.e., brochures, website, etc.
  • Works closely with the ADA University Foundation and other ADA University staff members on the implementation of the program objectives.
  • Monitors, evaluates, and reports progress on program implementation to the immediate supervisor regularly.
  • Oversees the database of all Executive Education Programs.
  • Facilitates workshops and seminars for clients and Executive Education Alumni.
  • Performs all other related duties as assigned by the immediate supervisor.

Requirements:

  • Bachelor's degree in the relevant field is required. Master’s degree is preferable;
  • Minimum 2-3 years of program specialist experience or equivalent;
  • Proficiency with Microsoft Office Suite, including Excel, Word, Power Point and Outlook is essential;
  • Excellent written and verbal communication skills;
  • Excellent knowledge of English, Azerbaijani languages. Knowledge of Russian language is preferable.
